How Theratrak Works FAQs

Theratrak is on a mission to make tracking therapy progress and completing home therapy programs easier. The Theratrak platform has been designed to help therapists create, monitor and track custom therapy programs for participants. Find out how Theratrak works for therapists here.
Therapists use Theratrak in different ways - prescribing and tracking home programs, supporting participants in-between regular therapy services, or providing special programs to families that are stuck on waitlists. Theratrak was created in 2018 by Occupational Therapist, Laura Simmons.

Theratrak is a platform with three portals - The Clinic Portal, the Therapist App and the Participant App.
Therapists use the Therapist mobile app in sessions to capture and digitise meaningful information from a therapy session. They then send home programs to their participants and their carers with custom notifications and trackable progress features.
Participants download the free Participant App from the app stores where they can access their home therapy programs prescribed by their therapists. They can send feedback and track their progress within the app.
The Clinic Portal is used by clinic owners, directors and lead therapists to keep track of participants, upload activities used by everyone in the clinic and get an overview of everyone's progress.

The quickest we have created a home program was just over 1 minute!
Most therapists usually spend between 2-5 minutes creating and sending programs. However, you might not seem to notice this when you're building the program within the session with the participant.
We’ve designed Theratrak to be as easy as texting. Therapists can use the app within sessions to capture images and videos then upload them to their participants home program. Therapists can also upload PDFs or links to home programs.
Some therapists rely on their clinic’s library of activities to use to prescribe in their home programs which saves even more time (but is less personalised for participants).

As many as you want, there are no limits on adding participants!
You could have a caseload of 5 participants or a clinic could have 5,000 participants! The cost for Theratrak does not change based on number of participants.

Of course. You can upload photos, PDFs, and videos unique to your practice or treatment style. It’s a great idea to send content to your participants with your branding on it.

There are a few key differences that we’ve built into the platform based off what therapists, clinic owners and participants have told us that is meaningful to them.
We are fully multi-disciplinary. Any therapist working in the same organisation has access to all of the incredible treatments prescribed by other therapists.
Theratrak is fully customisable. Have you completed some incredible PD and you want to use that with your participants. Easy! Upload it to Theratrak and off you go.
But what is even better? The participant app uses behavioural science, peer to peer mentoring and positive psychology techniques to increase engagement outside of therapy sessions.

Simply book a free 45-minute training session with us. We host the sessions on Zoom so that anyone can join, and you can record the session for later use.
We also have TheratrakU built into the platform which includes 20 minutes of quick videos for therapists and participants to upskill and learn to use the platform quickly.

There are many ways, but our favourite is to find a small team of Clinical Champions.
Clinic Champions could be 2 to 10 therapists in your organisation who will take on Theratrak as a quality improvement (QI) project.
We've onboarded many clinics over several years now, and the best results come when a team of people are committed to the QI project. These champions will use the app with at least 2 participants for a month, then expand and release the project to the rest of the team. Then we can share stories of therapist and participant success within your team to encourage more Theratrak adoption and home program tracking.

Yes! We love it when therapists want to support their waitlist and Theratrak makes it easy to do so.
Therapists can create and send activities in just a few minutes, then have one therapist spend a few hours a week monitoring all of the programs.
If you can create and send a program in 5 minutes, imagine how many people you could help in 2 hours!

Yes! The Australian Federal budget has a significant tax offset for companies until June 2023 to bring new technology into their business. It's called the Small Business Technology Investment Boost and Small Business Skills and Training Boost.
"Small businesses (with an aggregated annual turnover of less than $50 million) will be able to deduct an additional 20 percent of the cost incurred on business expenses and depreciating assets that support their digital adoption, such as portable payment devices, cyber security systems or subscriptions to cloud-based services." (ATO).

Yes! We are currently running a pilot study at South Western Sydney LHD in the early intervention department and were de-risked by Campbelltown Hospital.
Getting Started with Theratrak

Visit our Free Trial page to claim your 30 day free trial.
To claim your free trial, you need to share: Your name and email address, clinic name, clinic size and your registration number, your location, and your credit card details as a formality - but don't worry we won't charge you and will notify you via email 3 days before the trial is up.
We are flexible with accounts. If you need to modify or add therapists to your account, you can do so at any time.

Therapists pay a monthly subscription to licence the platform. You can find all Theratrak pricing for sole traders, clinics and enterprises here.
All therapists will get a 30-day free trial when you sign up. You can cancel anytime and there are no lock-in contracts.

For Australians, Theratrak is considered a non-face-to-face support provision under the NDIS and can be claimed this way by therapists and clinics.
Most of our therapists will add 5-minutes to their admin time to account for the costs.
As a sole trader, you would just need to add 5mins to your admin time for 8 participants a month to make Theratrak free to use for yourself.

Maybe! Or we could in the future.
Currently, we have integrations built with Lumary, Cliniko and Coreplus. All of these will sync your participant lists and save Theratrak programs in your case notes - cutting out half of your note writing!

Log into app.theratrak.co and:
Click Activities
Click + add new activity
Name the activity
Put it in a group and a subgroup so you can find it easily later
Write some “how to” steps
Write what the participant might need
Add therapeutic tags so you can find it easier later and so that the participants know what goals they are working on when they do this task, add as many tags as you wish.

In your therapist app, either select Activities on home screen or select a Participant and get to the activities page when creating a program.
Tap add a new activity.
Here you can add strategies, one time reminders and routines that will only be visible to you.

Log in to app.theratrak.co and:
Click Activities
Click + add new activity
Once you have created the text content
Click Upload on either the image box, pdf uploader or video uploader. Remember videos can be 1 min in length, 8mb pdfs and 4 images max

Log into app.theratrak.co and:
Click Participants
Look for the participant’s name
Click the corresponding View History
When you are in the participant click show details to bring up the tick boxes

Go to app.theratrak.co to log into the Clinic Portal after your account is created.
Once you have an account you can also download Theratrak app from the Apple App store or Google Play store to create your home programs in your therapy sessions.

No worries - it happens! Click "forgot my password" on the platform and you will be able to reset it through your nominated email address.

Participants will be able to access their accounts after you send them their first home program. They will get an activation email to set up a password. They can then download from the Apple App store or Google Play store.

Only the person nominated as the clinical admin can do this. head to app.theratrak.co > select Therapists > and select remove licence.

We regularly run demo sessions with new Theratrak therapists to ensure they know how to get the most out of the platform.

No worries! App crashes don't happen often but we keep a high level eye on all user activity on the app just in case.
If you shake your phone when it happens in the app and send us a description it can be even more helpful for us to fix the bug ASAP so it doesn't annoy you anymore.

As many as you can think of! Remember they are only visible to your clinicians - so go for it!

Therapists can create Custom Notifications or nudges specific to Activity cards when creating the Home Program. Therapist only need to do this once and the program will repeat every 7 days or until the therapists stops the program or sends a new one.

Yes. Co-design is at the core of everything we do. Theratrak is built by therapists for therapists with as much participant input as we can get our hands on. We’ve even got a feature built into the app so that anyone and everyone is encouraged to give us feedback about how the app is performing.
Some of the key projects we’ve undertaken include:
In 2021, we completed an 8-week study with 12 Points Psychology, results can be found here. We share more details about how the program was run. In summary, all participants improved their mental health scores by using Theratrak - without seeing a therapist. Read more here.
We are also working with Western Sydney University on a big four-stage research project. It involves artificial intelligence! Feel free to talk to us about it.
We’ve also been working with Everyday Independence for the last few years co-designing with their multidisciplinary team and participants of all ages. Read more here.
