7 Things Therapists Need to Know About Theratrak

Theratrak exists to support allied health professionals to streamline their workflow – so they have more time to do what they do best and support people in therapy.

We wanted to make it easy for therapists to understand benefits for Theratrak so we’ve collected the top seven things therapist should know.

But first, a bit of background on Theratrak.

Since launching in 2018, Theratrak has been dedicated to adding features to our platform that make the therapy tracking easier for both participants and allied health professionals.

When we first launched, the app was very basic in comparison to what therapists can do with the platform now.

At first, we focused on allowing therapists to be able to upload custom home therapy programs. Creating custom home programs meant that we had functionality for therapists to upload images, videos, pdfs, links and other info to their home programs for participants.

Now, not only can therapists upload custom activities, they can make use of the library of activities already loaded onto the platform and therapists can customise a lot of the home programming features as well.

There are three platforms that make up Theratrak – the clinic portal, the therapist app and the participant app.

Clinic owners have admin access to therapist and participant accounts via the webportal. The therapist app is for therapist to create home programs with during therapy sessions. We’ve aimed to make it as easy as possible for therapists to prescribe home programs - it should be as easy as texting! And the participant app is where participants are send their home program and can tick off activities as they complete them.

We’ve got a bunch of new features coming out on the app very soon – it’s been hard to for us to keep quiet about it because the next big update is going to be a game-changer!

To help therapists become more familiar with Theratrak, we’ve outlined the seven top things therapists should know about the platform.

7 things therapists need to know about Theratrak:

1. You can prescribe, track and monitor custom home programs for participants

The main goal of Theratrak has always been to make home programming easier for therapists and participants.

Therapists use their app to choose custom activities and custom reminders for participants before prescribing their home program.

Within the participant app, people in therapy can then see what home exercises they have to do, how many, and can send feedback back to their therapist.

Everything we do at Theratrak is trying to make the process of managing home programs easier. We’ve designed the app so that therapists can create home programs during therapy sessions and the whole process should be as easy as texting.

2. You can streamline your workflow

Theratrak was founded by an occupational therapist, Laura Simmons, who knows first hand how much time is spent creating and tracking therapy progress in between sessions.

Laura was inspired to create Theratrak after many, many excuses from participants that they didn’t do their homework. She heard all the classic excuses – including losing worksheets, forgetting the home exercises completely, and also “there was banana squished onto the worksheet so I couldn’t read what I had to do”.

At first, Laura wanted to write a book that would support therapists to empower their participants. And while books are certainly helpful resources, Laura realised technology is a far more scalable and can support therapists on a daily basis.

The idea for Theratrak was for therapists to capture meaningful information for home programs within existing sessions. Laura definitely didn’t want to add to a therapists workload, she wanted to make it easier.

There’s so much time spent on programming and documentation. Theratrak aims to save therapists time as with our case management platforms integration, therapists can now copy their case notes from Theratrak to reduce double handling.

We’ve got more integrations planned. Read about our Cliniko integration here. Do you have a case management system that you want to integrate with Theratrak? Send us a message here.

3. You can utilise +250 existing activities on the platform to use within home programs

On the Theratrak therapist app, there are already +250 pre-loaded activities for therapists to choose from. They’ve been categorised by skills building and we’ve got plenty of options for sensory regulation, fine motor skills, and gross motor skills. These activities can be added to a home program with just a few clicks. We also have a bunch of bonus activities from our partners: CoordiKids, Gheorg, Learn Play Eat, and Secret Ninja School.

Within clinic and therapist teams, clinic owners have the ability within the webplatform to add custom activities for all of their team to use.

4. You can connect your multi-disciplinary teams

The Theratrak platform consists of a web-platform where clinic owners and lead therapists can add participant accounts, add custom activities for everyone in the clinic to use, and can see an overview of all therapist activity within Theratrak.

This cross-team functionality means that the occupational therapists on your team can see what the speech pathologists have prescribed in their home programs. So if you have a participant at your clinic that receives more than one type of therapy, Theratrak makes it easier to communicate the goals and activities you’re working on.

5. You can create custom activities and share the activity library with your internal team

Before technology, home therapy programs were either hand-drawn or printed.

Because our founder has been an OT for a decade, we know first-hand the pain of trying to draw a stick figure doing a core exercise. It’s time consuming and difficult to consistently draw great pictures of activities that everyone understands.

Theratrak allows clinic owners to upload custom activities to their clinic library so that any therapist within that clinic can use those custom activities in home programs.

This library of custom activities enables teams of therapists to have consistency across participants and programs. And it saves participants time long-term as activities are ready to go.

We’ve also had therapists create entire psycho-educational programs which are delivered through Theratrak. Read more about how 12 Points Psychology delivered asynchronous mental health telehealth support with Theratrak.

6. You can increase engagement with participants - get access to feedback and monitor goals over time

One of the top reasons why allied health professionals join their field is to help others in therapy to reach their goals. And as our founder is an OT herself, we know how important it is to have clear therapy goals and celebrate progress along the way.

Keep participants engaged with therapy outside of sessions is one of the trickiest things allied health professionals have to deal with. It’s not just he therapy session that matters, it’s the consistent small steps and exercises that participants to strive towards their goals.

The Theratrak platform allows therapists to easily send home programs to participants, and receive feedback from participants about how they’re tracking with activities This allows for greater engagement between therapists and participants as issues with home programming can be rectified quickly.

7. We’re HIPPA certified

Having the HIPPA seal of compliance shows that we’re a healthcare organisation that meets the Privacy, Security and Breach Notification Rules of HIPPA.

We take privacy really seriously. The Theratrak platform is password and pin protected, and we’re HIPPA certified.
