Common Terms & Phrases we use at Theratrak:

API (Application Programming Interface):

  • An API is a set of rules and protocols that allows different software applications to communicate with each other. In the context of Theratrak, an API enables integration with other case management systems.

Activity Library:

  • A pre-loaded collection of therapeutic exercises, activities, or strategies that therapists can select from when creating home therapy programs for participants within the Theratrak Therapist App. These early-intervention activities can help standardise and streamline therapy planning. Clinics can also add their own activities to their library so that their team can share these resources when prescribing home programs. 

Allied Health:

  • Allied health is a broad category of healthcare professionals (excluding doctors and nurses) who provide specialised therapeutic and diagnostic services. Allied health professionals include (but are not limited to) occupational therapists, speech pathologists, physiotherapists, psychologists, and others. At Theratrak, any allied health professional can use our platform, but we mainly support OTs, speeches, physios and psychs.

Accessibility Features:

  • Design elements and functionalities that ensure a digital platform can be used by people of all abilities, including those with visual, motor, cognitive, or auditory challenges. At Theratrak, our accessibility features include improved color contrast (meeting AAA WCAG standards), screen reader support, and user-friendly app updates. These updates help therapists and participants navigate the platform more effectively, making therapy more inclusive and accessible for everyone.

Assistive Technology:

  • Any tool, device, or software designed to help individuals with disabilities or additional needs perform daily tasks and participate in therapy. Examples include communication apps, adaptive equipment, and mobility aids. Find out more about how we’ve made Theratrak more accessible here. 

Burnout:

  • A state of emotional, mental, and physical exhaustion caused by prolonged stress, often experienced by healthcare professionals due to high workloads, emotional strain, and poor work-life balance. In allied health, burnout can impact both clinicians and the quality of care provided to participants. In an 2022 survey, almost 50% of allied health professional and disability support workers felt burned out at least half the time. Theratrak aims to help reduce burnout by streamlining administrative tasks, improving workflow efficiency, and supporting clinicians to save time.

Care Team Collaboration:

  • The process of multiple healthcare professionals, caregivers, and families working together to support a participant’s therapy and overall health. Digital platforms like Theratrak enhance collaboration by enabling shared access to therapy plans, progress tracking and communication.

Clinic Portal:

  • The Theratrak Clinic Portal is a digital platform or dashboard that allows therapists to manage therapy sessions, track participant progress, and coordinate care. Clinic Directors or therapists use the Clinic Portal to manage their team, participants and clinic-level activities. 

Cloud-Based Platform:

  • A digital system that stores and processes data on remote servers instead of local devices. This allows therapists and participants to access Theratrak from anywhere, ensuring seamless updates and real-time collaboration.

Co-Design:

  • A collaborative approach to product development that actively involves the people who will be using the tool - such as therapists and participants - in the brainstorming, planning, and implementation process. At Theratrak, co-design ensures that every feature is built based on real-world clinical needs, making therapy more effective, accessible, and user-friendly.

Data Security:

  • Measures and protocols put in place to protect sensitive therapy and participant information from unauthorised access, breaches, or loss. Theratrak prioritises data security to ensure compliance with healthcare regulations and maintain user trust. Theratrak is HIPPA certified to ensure the highest standards of participant privacy and security. 

Digital Tools:

  • Software and technology solutions designed to support clinic operations. In allied health, digital tools can include practice management software, telehealth platforms, team communication apps, and gamified therapy programs. Theratrak is an example of a digital tool that aims to help therapists prescribe, track, and monitor custom therapy programs while improving participant engagement.

Engagement in Therapy:

  • The level of participation, motivation, and consistency a participant has in their therapy journey. The more participants are engaged in therapy, the more likely they are to practice exercises at home and make progress over time. Theratrak aims to increase engagement in therapy through interactive exercises, gamification features within the participant app, and real-time feedback to keep participants motivated. Founder:

  • The person or people who established and developed a company. Laura Simmons is an occupational therapist with over a decade of experience supporting kids to reach their therapy goals. Laura founded Theratrak in 2018 to bridge the gap between in-clinic therapy and home-based programs using digital solutions after witnessing too many kids backsliding in between 1-1 therapy sessions.

Gamification:

  • The use of game-like elements, such as rewards, visual progress tracking, and badges, to make therapy more engaging and motivating for participants. Theratrak incorporates gamification features within the Participant App to encourage adherence to therapy programs.

HIPAA Compliance:

  • A set of U.S. regulations under the Health Insurance Portability and Accountability Act (HIPAA) that protect participant data privacy and security. When Theratrak operates in the U.S., ensuring HIPAA compliance is essential for handling sensitive health information securely.

Integrations:

  • The ability to connect with other systems, tools, or platforms, allowing seamless data sharing and improving workflow efficiency. At Theratrak, we integrate with a range of leading case management programs so that therapists and clinics can easily copy their home programming activities into their case notes. This is just one way Theratrak saves therapists time every day.

Multidisciplinary Approach:

  • A collaborative method in healthcare where professionals from different fields, such as occupational therapy, physiotherapy, and speech pathology, work together to provide comprehensive care. Theratrak supports multidisciplinary teams by enabling shared access to therapy plans and progress tracking. 

NDIS (National Disability Insurance Scheme):

  • An Australian government program that provides funding and support to people with disabilities, helping them access essential services, including therapy. Theratrak aligns with NDIS by offering digital tools that enhance therapy outcomes and improve service delivery. Theratrak is also a NDIS billable item under non face-to-face therapy support. Therapists often charge participants for the time it takes to create and monitor their home programs.

OT (Occupational Therapy):

  • A healthcare profession focused on helping individuals develop or regain the skills needed for daily activities, work, and independence. Paediatric Therapy:

  • Therapy services specifically designed for children, addressing developmental, physical, and cognitive challenges. Theratrak supports paediatric therapy by offering engaging and accessible digital home programs for young participants. The Theratrak platform has over 600 pre-loaded early-intervention activities suitable for children in therapy. 

Participant App:

  • The FREE Theratrak Participant App designed for clients, patients, or caregivers to access their home therapy programs, track progress, and engage with therapy activities prescribed by their therapist. After their therapist has prescribed a home program, participants and their families can tick off activities and send feedback to the therapist in-between 1-1 therapy sessions.

Physiotherapy:

  • A healthcare profession focused on improving movement, strength, and function through physical techniques such as exercises, manual therapy, and rehabilitation programs. Theratrak supports physiotherapy by providing digital tools for tracking exercises and progress.

  • A legal document that outlines how Theratrak collects, stores, and protects user data. It ensures transparency about data security practices and compliance with privacy laws.

Psychology:

  • The study of human behavior, emotions, and mental health. In therapy, psychology plays a key role in understanding and supporting participants' emotional well: being. Theratrak can be used to help track progress in mental health interventions.

Research:

  • The ongoing study and evaluation of therapy practices, technology, and outcomes to improve healthcare services. Theratrak is committed to evidence: based research to ensure its platform enhances therapy engagement and clinical results. Speech Pathology:

Subscription:

  • The payment model used to access Theratrak’s platform and features. The subscription is a monthly fee and the cost is based on clinic size and number of therapists.

Telehealth:

  • The use of digital technology to deliver healthcare services remotely. Theratrak enables therapists to provide virtual support, monitor progress, and engage participants in therapy from anywhere.

Therapist App:

  • The Theratrak App is designed for allied health clinicians, allowing them to create, assign, and track home therapy programs while collaborating with participants and caregivers. Most therapists prescribe home programs within a few minutes. Some use the over 600 pre-loaded activities on the Theratrak platform, some use clinic branded activities, and other create personalised activity assets during sessions.

  • An hour-long online training platform designed to help therapists, clinic owners, and admin staff quickly learn how to use Theratrak effectively. Tracking:

  • The process of monitoring a participant’s progress in their home therapy program to ensure continued engagement, adherence, and positive outcomes. In allied health, tracking allows clinicians to make real-time adjustments, improve communication with participants, and use data-driven insights to optimise therapy plans. Theratrak’s digital tools streamline tracking by providing structured progress updates, reminders, and interactive features to keep participants motivated and engaged.

User Experience (UX) in Therapy:

  • The overall experience a therapist or participant has while interacting with digital therapy tools. Theratrak is designed with a user: friendly interface to ensure accessibility, engagement, and ease of use for all users.

Waitlist:

  • A queue system used by allied health clinics when immediate therapy appointments are unavailable due to high demand. Long waitlists can delay essential care and impact participant outcomes. Theratrak has helped many clinics to reduce the impact of waitlists by enabling clinicians to prescribe digital home therapy programs, keeping participants engaged and progressing while they wait for in-person sessions.
